Resource Demand Estimation

At very early project phases, reliable estimates concerning resources and costs can be difficult to obtain. Planisware facilitates this process by enabling resource demand templates which establish a baseline of consistency across projects, and subject matter experts can apply expert judgment by updating estimates via a familiar spreadsheet interface.

In addition to accommodating expert judgment, Planisware includes two estimation tools to assist with this task. The Parametric Estimation methodology calculates forecasted demand through a set of driver-based parametric equations while the Estimation Analogy tool determines forecasts based on analogies from a set of relevant past projects.

Such estimation tools enable users to put together resource and cost forecasts quickly, and with a dependable level of accuracy.

Capacity Planning

Without visibility into long-term resource needs across the portfolio, organizations lack the ability to anticipate and mitigate potential issues caused by capacity bottlenecks.

To address this problem, Planisware’s resource bottleneck views compare resource capacity, or the resource pool, against the aggregation of estimated resource needs across the portfolio, which allow for over-allocations and under-utilized resources to be identified immediately.

Resource Managers can drill down to explore the source of issues, and What-if capabilities allow Resource Managers to test the impact of resourcing or project changes across the portfolio of projects before making difficult decisions.

Resource Allocation

Allocating manpower across an entire portfolio within the confines of a strict budget is a delicate balancing act that – if not done properly – can result in stalled projects and, subsequently, a reduced shelf-life and ROI. Clients using Planisware resource allocation processes capitalize on convenient role-based workflows and named resource level forecasting reports to manage their workforces quickly and efficiently.

Planisware's resource assignment system caters to the various needs of different organizations’ resource assignment processes and permits users to manage both internal and external resources by department, individual, skills, or a combination of the three.

Resource Valuation

Throughout the resource allocation and management process, Planisware empowers users to appraise the cost and compare the utilization of internal and external resources. By considering various metrics (including financial performance and follow-up costs) and multiple constraints (like geography and work time), users can weigh the costs and benefits of different resourcing scenarios and plan, or re-plan as necessary.

Users can integrate external resources by applying rate profiles. Both internal and external cost units can be defined to cross-charge usage and used to perform internal invoicing.

Time-Tracking and Resource Utilization Analysis

Without a convenient way to enter and track time at the individual level, organizations cannot accurately track time spent, nor assess historical resource usage. Implementation of a time tracking system, in which individual resources enter time spent on various tasks and projects, allows for the evaluation of actual resource effort across departments, projects, and portfolios.

Planisware’s advanced time-tracking system provides the tools needed to determine actual hours in a user-friendly, flexible system. Users can choose to track time directly into Planisware – employing the solution’s TimeCard feature – or into a third-party system that can be integrated with Planisware.

After resources have been dispatched, and time worked has been tracked, it is important to close the loop and compare the actual hours against the originally forecasted estimates. Planisware provides dashboards that point to discrepancies between resource capacity and resource estimations and work performed. By identifying discrepancies and understanding the underlying causes, the organization is able to better estimate – and consequently, more efficiently utilize resources in the future.
